Medical Invoice FAQ

What should a medical invoice include?

The facility's name, address, and contact details; who is being billed (the patient, their HMO, or a company); each service as its own line - consultation, tests, procedures, medication - with amounts; the patient reference and any HMO authorization code in the notes; the total due; the due date; and payment details. Itemized bills speed up HMO processing and reduce disputes.

Should diagnoses appear on the invoice?

No. An invoice travels through accounts departments, HMO desks, and email inboxes - it should carry service descriptions and references, not clinical details. Use neutral line descriptions ('Consultation - specialist', 'Laboratory investigations') and keep diagnoses in the medical record where they belong.

How do I bill an HMO versus a self-paying patient?

Same invoice, different 'Bill to'. For HMO cases, bill the HMO and quote the authorization code and patient reference in the notes; for self-paying patients, bill the patient directly. If the HMO covers part, invoice the HMO for their portion and the patient for the co-payment as separate documents - mixing them delays both payments.

Invoice or receipt - which does the clinic issue?

Both, at different moments. The invoice requests payment (before or after treatment, per your policy); the receipt proves payment happened. Our Medical Receipt Generator handles the receipt side, including deposits and balances.

How is this different from a Growpins Ledger account?

This tool makes one bill at a time. A free Growpins Ledger account stores patients and HMOs as clients, remembers your service price list, numbers invoices automatically, and tracks which bills are paid, part-paid, or overdue - so the front desk isn't reconstructing accounts from a carbon-copy booklet.

Running a clinic on carbon-copy booklets?

Growpins Ledger stores patients and HMOs as clients, keeps your service price list, numbers invoices automatically, and shows what's paid, part-paid, and overdue - with receipts and bookkeeping built in. Built by the team behind Growpins, founded by Dokun Bamigboye. Free tier, no card required.
