Quote → proforma → invoice: which document when?

A quotation is your offer - it commits you to prices, not the client to buying. When the client says yes, a proforma invoice formalizes the order (and is what banks and customs often ask for). The invoice comes last, after delivery, and is the document that creates the debt.

The equipment dealer's version: quote three machines on Monday, proforma the two the client picks on Wednesday, invoice on delivery next month. Three documents, one deal - and the validity date on the quote is what protects you if the deal takes a quarter instead of a week.

What should a quotation include?

Your business name and contact details, the client's name, a unique quote number, the quote date and a validity date, each product or service with quantity and unit price, tax if it applies, the quoted total, and your terms - delivery time, deposit required, and what happens after the validity date.

What's the difference between a quotation, a proforma invoice, and an invoice?

A quotation is an offer - prices you're proposing before the client commits. A proforma invoice is a preliminary bill sent once the client intends to buy, often used for advance payment or customs. An invoice is the formal request for payment after delivery. The usual flow is quote, then proforma, then invoice.

Why does a quote need a validity date?

Because your costs move. A quote with no expiry can be accepted months later at prices that no longer cover your supplier costs or exchange rate - a real risk when you buy stock in one currency and sell in another. This tool defaults the validity to 14 days from the quote date; change it to whatever you can honour.

Should a quotation include tax?

Show it if the final price will include it - a client comparing your tax-inclusive total against a competitor's tax-free quote is comparing the wrong numbers. Pick your country preset and the right tax name and rate are applied; set the rate to 0 if you'd rather quote net.
